Who this covers

This policy covers hirefero.com and the staffing services FERO provides. It applies to three groups of people: visitors to this site, clients who engage us, and candidates who apply to work through us.

What we collect

From site visitors. If you book a call or send us a message, we collect what you type: your name, email address, company, phone number where you give one, and the content of your note. We also collect ordinary web analytics such as pages viewed, approximate location from your IP address, and the referring site.

From clients. Billing and account contacts, the scope of the roles you hire for, and whatever access you choose to grant your assistant so the work can be done inside your systems.

From candidates. Application and screening material, including résumé, work history, the intro video recorded during vetting, and the documentation required to employ someone legally in their country.

What we do with it

We use it to answer you, to match and place staff, to run the engagement, to bill you, and to meet our legal and employment obligations. That is the entire list.

We do not sell your information. We do not rent or trade it, we do not share it with advertisers or data brokers, and we do not use client data or anything we see inside your systems to train machine learning models.

Your systems and your credentials

Most of the work happens inside software you already own. Your business owns the credential vault, your assistant signs in through it without ever seeing a password, and that access ends the day they roll off your account. We do not copy your customer records out of your systems into ours, and we do not keep a shadow copy after an engagement ends.

If you connect a Google account

Where you grant FERO access to a Google account so your assistant can work in your mail or calendar, that access is used only to perform the work you asked for. FERO's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer that data to anyone else, we do not use it for advertising, and we do not use it to train models. You can revoke the access at any time from your Google account's security settings, and it stops working immediately.

Who else touches your data

We run on ordinary business software: hosting and database providers, an email provider, a scheduling tool for booking calls, and payment processing. Each one sees only what it needs to do its job. We will name the current list in writing for your vendor review if you ask.

We will also disclose information where the law requires it, and we will tell you when we are permitted to.

How long we keep it

Enquiries and booking notes are kept while there is an active conversation and for a reasonable period after. Client records are kept for the life of the engagement and for as long afterwards as tax and employment law requires. Candidate material is kept while the candidate is active in our pool. Ask us to delete something and we will, except where we are legally required to keep it.

Your choices

Write to us and you can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, or tell us to stop emailing you. Depending on where you live, you may have these rights by statute; we extend them to everyone regardless.

Children

This is a business service. It is not directed at children, and we do not knowingly collect information from anyone under 16.

Changes

If we change this policy we will update the date at the top of the page. If the change is material for existing clients, we will say so directly rather than leave you to notice.
